The Trust Partnership has experienced Clerks ready to provide exceptional services and oversee the administration of clients, as well as providing excellent board administration.

In providing support to trustees regarding governance and compliance, we take account of whether the charity is incorporated or unincorporated. We aim to provide relevant and proportionate responses and assistance.

Services include:

Clerking Trustee support with meetings (agendas, board packs, minutes, matters arising)
Regulatory submissions Charity Commission submissions, updating Charity Commission records. See Financial Management for Companies House.
Advice and guidance Policies, procedures, best practice including the Charities Code of Governance and monitoring new practices and regulations.

Our team of experienced Administrators and Clerks can oversee all operational aspects of your grant-making programme. From the design and assessment of applications, through to the payment and evaluation of your grants, we are on hand to support every step of the way.

We recognise that no two grant makers are the same and that much philanthropy is borne out of the settlor’s or trustees’ personal interests and passions. As a client, you will have a named point of contact, usually the Clerk, who will work closely with you in understanding your requirements and ensuring that your organisation’s charitable objects are fulfilled. The Clerk will oversee a team of Administrators in the delivery of all services.

Services include:

Pre-award Shortlisting applications to an agreed criteria; carrying out due diligence on potential grantees.
Grant management Liaison with grantees; payment of grants; ongoing grant monitoring.
Post-award Ensuring end-of-grant reporting compliance; providing information for the Annual Report; maintaining paperwork in line with data retention policies.

We manage all aspects of our clients’ administrative affairs, from arranging and supporting meetings, taking minutes and following up on actions. Experienced and knowledgeable personnel take care of all operational activities to enable Trustees to concentrate on their role. We provide IT support for Trustees via our partners, and arrange suitable online filing and archiving to ensure business continuity.

We provide specialist and comprehensive accounting services through our subsidiary company, Trust Accounting.

From year-end accounts to full financial administration, our team of experienced and qualified accountants and bookkeepers can offer a tailored service to meet your needs and budget.

A dedicated bookkeeper and administrator can be assigned to each client. They are located within our Head Office and work closely with the Trusts and Foundations team.

This means that quarterly Management Accounts, budgeting and Annual Report and Accounts have had consistent input from each expert area and allows for seamless reporting to the client.

“We moved the administration of the Foundation to The Trust Partnership a few years ago, and we have been impressed and relieved at the way they have taken over, with sensitivity, the handling of a varied portfolio of grants. They have worked easily with others who are involved, and taken over the burden of the financial administration, so that the Trustees can concentrate on what they are there to do, to fulfil the purposes of the Foundation.”

Martyn Gowar, Chairman, The Ashley Family Foundation

“The Trust Partnership has proved exactly the right administrative partner for our small but fiercely proud membership organisation containing two charities. Sensitivity, expertise and efficiency characterise The Trust Partnership’s professional service which has relieved us of an ever increasing administrative burden borne by a few volunteers. We are now free to concentrate on the fellowship that matters so much to our membership.”

Sue Norman, President Emeritus, The Nightingale Fellowship

“The Trust Partnership administers all aspects of this charity’s affairs, provides full secretariat support to the Trustees, initially assesses grant applications and liaises with assessors to aid them in reaching their decisions. We’ve been delighted with the service received. They have been extremely efficient and friendly and always respond to questions promptly. We’re very pleased that we made the decision to move our business to them.”

Kieron Lynch, Chairman, 1930 Fund for District Nurses

We currently support more than 50 charitable trusts, benevolent funds, regimental charities and almshouse charities.

Our pricing philosophy:

We agree estimates of time based on each client’s activities and, depending on the client’s requirements, can offer fixed-price contracts, fee ceilings, or charge for time in five-minute increments so that all of our efficiencies are passed on as savings.

Each of our team members works with more than one client, taking responsibility for a specific area of expertise. Each role is charged out at an hourly rate based on the level of skill, responsibility and experience required. Tasks are delegated appropriately to ensure that the majority of day-to-day activities are undertaken by our experienced Administrators rather than Clerks.
